2. When you visit this website
Hosting
This website is hosted by Squarespace (Squarespace Ireland Limited, Dublin, Ireland; parent company Squarespace, Inc., USA). When you open a page, your browser automatically sends technical data to Squarespace's servers: your IP address, date and time, the page requested, the referring page, and your browser and operating system. This is needed to deliver the website and keep it secure.
Legal basis: Art. 6(1)(f) GDPR (our legitimate interest in a secure, working website). Squarespace processes this data on our behalf under a data processing agreement. Transfers to the USA are covered by the EU–US Data Privacy Framework and/or Standard Contractual Clauses.
Cookies and consent
Some cookies are strictly necessary for the site to work, for example to remember your cookie choice or keep a form secure. These are set without consent (Art. 6(1)(f) GDPR and § 25(2) TDDDG).
All other cookies, such as analytics, are only set if you click "Accept" in the cookie banner (Art. 6(1)(a) GDPR and § 25(1) TDDDG). You can change your choice at any time with the "Cookie Preferences" button at the bottom of every page.
The full list of cookies is in our [Cookie Policy](https://www.iubenda.com/privacy-policy/38755339/cookie-policy).
Google Analytics 4 (only with your consent)
If you accept analytics cookies, we use Google Analytics 4 (Google Ireland Limited, Dublin, Ireland) to understand how visitors use the site, such as which pages are viewed and how people found us. Google Analytics 4 does not store full IP addresses. Data may be transferred to Google LLC in the USA, which is certified under the EU–US Data Privacy Framework.
If you decline, Google Analytics does not set cookies. We use Google's Consent Mode for this.
Legal basis: your consent, Art. 6(1)(a) GDPR. Retention: [2 / 14] months.
Fonts
Our fonts are loaded from Adobe Fonts (Adobe Systems Software Ireland Ltd, Dublin, Ireland). Your browser connects to Adobe's servers and sends your IP address. Adobe states that it does not use this data to track visitors. Legal basis: Art. 6(1)(f) GDPR (a consistent website design).
Houzz badges
Our website shows award badges from Houzz (Houzz Inc., USA). The badge images are loaded from Houzz's servers, which receive your IP address. Legal basis: Art. 6(1)(f) GDPR (showing independent reviews of our work).
Links to social media
We link to our profiles on Instagram, Pinterest, LinkedIn, Facebook and Houzz. These are plain links: no data is sent to these platforms unless you click one. Once you are on a platform, its own privacy policy applies.
3. When you contact us or book a call
Contact form (Dubsado)
Our contact form is provided by Dubsado (Dubsado, LLC, USA) and embedded on our site. When you send the form, Dubsado stores what you enter, such as your name, email, phone number and project details, and sets technical cookies so the form works. Dubsado is also the system we use to send proposals and manage client communication.
Legal basis: Art. 6(1)(b) GDPR (steps before a contract, at your request) and Art. 6(1)(f) GDPR (answering your enquiry). Transfers to the USA are covered by Standard Contractual Clauses.
Email
If you email us, we use your email address and message to reply to you. Legal basis: Art. 6(1)(b) or (f) GDPR.
4. When you become a client
To deliver your project, we process the information you share with us: your name, contact details, address, floor plans, measurements, photos and videos of your property, style preferences, budget, and payment and invoicing details.
We use the following tools for this. Each provider processes data on our behalf under a data processing agreement or equivalent safeguards:
- Dubsado (USA): proposals, contracts, invoices, client communication
- Google Workspace / Google Drive (Google Ireland Limited): storing project files
- Rayon: floor plans, 3D design and design documentation
- Programmer: client product-approval dashboard
- Canva: welcome documents and presentations
- [HelloSign (Dropbox) / PandaDoc]: digital signatures
- Stripe (Stripe Payments Europe, Ltd., Dublin, Ireland): card payments. Stripe also sets cookies to prevent fraud, which counts as strictly necessary.
- [PayPal]** (PayPal (Europe) S.à r.l. et Cie, S.C.A., Luxembourg): payments, if you choose it
Our team members and contractors (for example, the person who prepares floor plans) only see the project data they need for their part of the work.
Legal basis: Art. 6(1)(b) GDPR (performing our contract with you) and Art. 6(1)(c) GDPR (tax and accounting obligations).
5. International transfers
We are based in Australia, so your data is processed in Australia as well as the EU. Some of our service providers are in the USA. Where data leaves the EU, we rely on the European Commission's adequacy decisions (including the EU–US Data Privacy Framework) or Standard Contractual Clauses.
6. How long we keep your data
- Enquiries that don't become projects:** deleted within 12 months of our last contact.
- Client projects:** kept for the length of the project, then as long as needed for warranty questions.
- Invoices and accounting records:** kept for the periods required by German and Australian tax law (up to 10 years).
- Analytics data:** see Google Analytics above.
7. Your rights
Under the GDPR you have the right to:
- access the data we hold about you (Art. 15)
- have it corrected (Art. 16) or deleted (Art. 17)
- restrict how we use it (Art. 18)
- receive it in a portable format (Art. 20)
- **object** to processing based on our legitimate interest (Art. 21)
- withdraw your consent at any time, without affecting processing that already took place (Art. 7(3))
To use any of these rights, email support@rainipeters.com.
You can also complain to a data protection supervisory authority, for example the Berlin Commissioner for Data Protection and Freedom of Information (www.datenschutz-berlin.de), or in Australia the Office of the Australian Information Commissioner (www.oaic.gov.au).
8. Do you have to give us your data
You don't have to give us any data to browse this website. To answer an enquiry or carry out a project, we need your contact details and project information. Without them we can't work with you.
We do not use automated decision-making or profiling.
9. Changes
We update this policy when our services or the law change. The current version is always on this page.
